Jan 13 Member Meeting + Vote Timeline

As we shared in our recent communications, Adventure Cycling is holding a second vote on the building sale to ensure all procedural concerns are addressed and all members have confidence in the process. We will need you to vote again starting January 13; the first one does not count. We apologize for the inconvenience and appreciate your participation immensely. Here’s everything you need to know about the upcoming member meeting and vote timeline.

Member Meeting: January 13, 10 AM – 12 PM Mountain Time

We’re holding a member meeting on Tuesday, January 13, 2026, from 10:00 AM to 12:00 PM Mountain Time via Zoom. This meeting provides an opportunity for members to speak publicly about organizational business, including the building sale. Members must RSVP to the member meeting using the link in their email or letter.

For those who live in Missoula and need in-person accessibility accommodations, we’ll have a small space set up at 150 E. Pine, Missoula, Montana, for you to attend the meeting. Our max capacity is 40 members. We ask that you RSVP using the link in your email or email us at questions@adventurecycling.org.

How the Meeting Will Work

The two-hour meeting will be structured as follows:

  • 5 minutes: Meeting tone-setting and rules
  • 10 minutes: Presentation from Adventure Cycling
  • 10 minutes: Presentation from group of members who oppose the sale
  • 90 minutes: Public comment period for members (2 minutes per speaker)
  • 5 minutes: Closing

Speaking at the Meeting

The timing allows space for approximately 36 members to speak. To help us steward this meeting efficiently, members can sign up ahead of time to speak. To sign up, please use the sign up link you received via email.

Please read the directions on the form carefully.

Speaking options:

  • Individual speakers receive 2 minutes
  • Members may pool their time with other speakers (maximum 10 minutes or 5 speakers pooled together)
  • Only one person speaks at a time during pooled time
  • If there is extra time during the meeting, we can open the floor to non-registered speakers

Meeting Purpose and Format

This meeting is for the airing of thoughts and opinions, not for rebuttals. Members are welcome to speak about the building sale, the vote, or other matters within Adventure Cycling’s jurisdiction.

Rules of decorum:

  • Comments must be respectful and allow the meeting to proceed in an orderly manner
  • Disruptive behavior, threats, intimidation, obscene language, racial epithets, or other conduct that impedes orderly proceedings are prohibited
  • Speakers must be recognized by a presiding moderator before speaking
  • Speakers must limit remarks to two minutes (unless pooled with others ahead of time)
  • Remarks should be addressed to the group as a whole, not to individual members, staff, or board members
  • All attendees must refrain from disrupting, disturbing, or otherwise obstructing the meeting
  • A presiding moderator may mute or remove anyone who fails to observe these rules

Can’t attend?

  • We will record the meeting and post it to our YouTube channel
  • We encourage those who can’t speak at the meeting to use our Forums or Facebook page to post their comments

Vote Timeline

Tuesday, January 13, 1:00 PM Mountain Time: Voting opens. You’ll receive an email with your Member ID and unique PIN. This PIN will be different from the one you used in the first vote.

Tuesday, January 20, 11:59 PM Mountain Time: Voting closes; mailed ballots must be postmarked by January 20. Please be aware of recent postmark changes with USPS.

January 31: Vote results announced.

Those voting electronically will receive your voting credentials and detailed instructions when voting opens on January 13. Those voting by mail will have received all voting instructions by mail.

Why This Vote Matters

Selling our building helps save the programs you rely on. It gives Adventure Cycling the financial runway needed to rebuild toward a sustainable future without sacrificing routes, guided tours, advocacy, or the magazine.

For the vote to pass, we need:

  • At least 10% of members to participate
  • Two-thirds of those voters to vote in favor
  • Casting a FOR vote means you authorize the board to evaluate and pursue the sale of the building under terms that are beneficial to the organization.
