Adventure Cycling Association seeks a well-organized, energetic, detail-oriented and outgoing individual to join its Tours team which plans, sells and manages more than 100 different bicycle tours and instructional courses annually. Key Responsibilities:

As a staff member in the Experiences Department, the Tour Experience Operations Specialist shall play a lead role in management and support of tour operations and leader relations. The Tour Experience Operations Specialist reports to the Tours Experience Operations Manager. General tasks and specific responsibilities are listed below:

General Responsibilities

• Develop a thorough knowledge of our tour offerings
• Work with the Tours Experience Operations Manager to assess, acquire, and manage the gear and vehicles required to operate tours
• Be the primary contact and support for tour leaders as they prepare for and manage tours for which they are hired to lead
• Assist in the design and planning of new tours and the creation/updating of Tour Planning Documents on an annual basis
• Be a rotating member of the on-call emergency phone team (up to 1 week/month)
• Some travel may be required on occasion to conferences or tours

Experiences Management

• Fully manage a portfolio of Adventure Cycling Experiences, typically between 50 and 80 departures a year, including:
  • Creating and editing route maps
  • Working with assigned tour leaders to make reservations for tour departures as needed
  • Maintaining consistent electronic documentation sharing with tour leaders, including leader notes, financial information, permits, and other tour-related information
  • Managing on-tour budgets; submit expense reports and reconciliations
  • Reviewing and editing completed leader notes
  • Managing necessary detours for emergencies and route closures
• Manage the creation and updating of informational packages, maps and related documents for new and existing tours
• Complete post-tour evaluations, summarizing improvements needed for future departures

Permits

• Manage Federal, State, and Local Permits associated with assigned experiences portfolio:
  • Work with agencies to submit necessary information to obtain a use permit
  • Develop and submit post use reports
  • Maintain positive relationships with permitting agencies
  • Perform permit analyses for new and existing tours

Other Responsibilities

• Rotating with other Adventure Cycling Staff, provide tours of the Adventure Cycling facilities to visiting cyclists.
• Assist in Risk Management oversight for the tours program
• Work with the Tours Customer Experience team to provide resources and information so it can be effectively communicated to participants
• Provide occasional direct customer service support either by phone or email

Required Qualifications:

• Proficiency in working with all Google Suite Applications (Docs, Sheets, Drive, Calendar, Sites) and Microsoft Access, Excel, and Word
• Detail orientated self-starter with proven decision making and problem-solving ability; leader who can collaborate with colleagues and partners.

Preferred Qualifications:

• Experience working with people very different from yourself.
• Solo or group multi-day cycle travel experiences
• Guiding experience
• Federal, state, or local permitting experience
• CPR/FA and LNT certifications
• Experience with Ride with GPS

Physical Requirements:

Elements of job duties may require occasional moving of up to 50 pounds and the ability to occasionally stoop, kneel or crouch; candidates not able to meet such demands can possibly work with staff or others to accommodate. Occasional operation of a motor vehicle, including a 15-passenger van and trailer may be required.

Compensation, Schedule and Benefits:

This is a full-time, nonexempt position (average 40 hrs/week). Schedule varies by supervisor, but is generally M-F, 8am-5pm MST. We are located at Adventure Cycling’s headquarters in beautiful and bike-friendly Missoula, Montana.
